Secure Email Sample Letter

Dear
To protect the confidentiality of any personal medical information contained in future electronic mail, I will send future emails that contain “protected health information” (PHI) through the new UCSF Secure Messenger system.
Here’s how the UCSF Secure Messenger system works:
When I send you an email that contains PHI, you will receive a secure email notification from me.
The secure email notification will contain a “VIEW MESSAGE” link, as well as information about the subject and the length of time the message will be available for you to read.
To read my message simply click on the ‘VIEW MESSAGE’ link, which will take you directly to the UCSF Secure Messenger website.
The first time you visit the UCSF Secure Messenger site, you’ll need to register by providing:
- Your Name
- A Password
- A Password hint (used by you should you should forget your password)
(On subsequent visits to UCSF Secure Messenger, you need only enter your password to sign in.)
After signing in, you will be able to read my email to you and to send a secure reply back to me.
You’ll find a helpful ‘What is this?’ link included in each secure email notice, should you have concerns or questions regarding using the UCSF Secure Messenger system.
